Start with the department and property
A municipal inquiry may concern grounds near a public building, an operational site or another managed property. Identify the department responsible and the specific areas it wants reviewed. WTG can discuss suitable vegetation pretreatment with the authorized representative. A general inquiry does not establish procurement approval or permission to work on all municipal land.
Connect the scope to recognizable locations
Use current maps or photographs showing proposed areas, ownership and exclusions. Keep buildings, equipment, public amenities and water features distinct from vegetation being considered. A useful scope lets staff who were not present at the initial review understand the locations and practical requirements without relying on an unexplained acreage total.
Account for public use and staff activity
Discuss visitors, operating hours, maintenance crews and events that may overlap with the work. Identify who communicates any confirmed site-use arrangements. Instructions must reflect the actual product and application plan. Access and environmental questions need resolution before a location is included, especially where several departments manage adjoining areas.
Follow the municipality’s review process
Ask the responsible purchasing and property staff what documentation and approvals are required. WTG can explain its proposed service and price, while the municipality determines its applicable process. Do not treat a quote as evidence of contract award, grant eligibility or compliance with every local requirement. Keep optional areas and follow-up services separate so reviewers can assess the actual proposal.
Make completion information usable across departments
Retain the treated-area record, application details and approved changes with the property’s maintenance information. Give the grounds team a clear contact for later questions. A defined treatment project can be considered alongside wider preparedness, but it does not guarantee public safety or replace emergency planning and official operating decisions.
