Begin with the venue’s outdoor layout
An event property may include gathering lawns, natural boundaries, service approaches and separate buildings. Tell WTG which vegetation areas you want reviewed and how they relate to the venue’s daily use. The proposed service concerns suitable fuels within an agreed scope. Stages, tents, furniture, decorations and other event materials are not automatically included.
Coordinate before the event setup begins
Setup and breakdown can change access and obscure the areas proposed for treatment. Share vendor movements, equipment delivery and any construction or landscaping plans early. Identify who can confirm that the agreed area is ready for review. The application timing must reflect appropriate conditions, not simply the interval between two bookings.
Keep guest and staff arrangements clear
Discuss how people use nearby paths, dining areas, gardens and amenities. Confirm any site-use instructions for the actual product and project before sending notices. A designated venue contact should be able to explain changes to staff and vendors. Do not rely on a general online claim to decide when an affected space can be used.
Separate the property service from event approvals
Vegetation pretreatment does not authorize fireworks, open flames or any other event activity. It also does not replace required permits, venue safety procedures or official restrictions. Those decisions belong to the appropriate authorities and responsible venue team. WTG’s proposal should remain a clearly defined application project rather than be presented as approval for an event to proceed.
Keep a record for later bookings and maintenance
Save the completed-area information with grounds records and note later changes, such as new planting or altered irrigation. A treatment photo alone does not establish future performance or a guarantee of uninterrupted events. WTG can discuss the scope and follow-up questions so the venue has useful information alongside its broader operating plans.
